Challenge
Building a Payment Process That Could Grow with the Business from Day One
When Laurel Mueller launched CMIT Solutions Idaho in January 2025, she had no existing customer base and no legacy systems to untangle. What she did have was a clear picture of what a payment process needed to do: it had to be easy for clients, give the business visibility and predictability, and scale without adding complexity. Getting it right from the start was not optional.
Starting from scratch meant every system choice carried long-term consequences
CMIT Solutions Idaho had zero customers when it opened its doors. That meant every tool selected in those early months would shape how the business operated as it grew. For Laurel, choosing a payment processor wasn't just an operational decision. It was a signal of how the company intended to run. A fragmented or unreliable billing experience would reflect poorly on the brand before the business had a chance to build one. The standard she held herself to was simple: every process had to support the client, not complicate things for them.
Predictable costs and cash flow visibility were non-negotiable for a business built from zero
With no inherited revenue and no existing clients, forecasting was essential from month one. Laurel had already seen what could go wrong: a previous business with a complicated fee structure that made costs hard to track. With hardware sales requiring payment upfront, she also needed collection in place before the first real sales conversations happened. A clean, predictable cost structure wasn't a preference. It was a requirement for a business that had to plan carefully from the ground up.
Solution
A Full-Featured Platform That Worked for the Business and the Client
CMIT Solutions Idaho adopted Alternative Payments at launch and was fully onboarded in about an hour and a half. The platform gave clients a self-service portal to view invoices and statements, gave the business predictable costs and clean reconciliation, and paired it all with responsive support: Rick has opened roughly 10 tickets over the life of the business, a response has never taken more than 24 hours, and system changes have been handled immediately.
A client portal that runs without staff involvement
One of the deciding features for Laurel was client self-service. Clients can log into the Alternative Payments portal at any time, view all their invoices and statements, and make payments without calling the office. For a lean team managing a growing client base, that kind of independence is essential. It removes the need for back-and-forth on billing questions and keeps Rick and Laurel focused on the work that actually grows the business. Since launch, not a single client has reported an issue accessing the portal.
Reconciliation that takes an hour instead of an afternoon
After bringing accounting in-house, Rick took over reconciling payments between Alternative Payments and QuickBooks himself. What used to take three to four hours of tracking down discrepancies is now roughly an hour a week. As Laurel puts it, "if the problem exists, it exists in the other application, it's not in AltPay." That reliability also means the team catches issues before clients do. On more than one occasion, Rick has spotted a client paying twice and reached out to fix it before the client even noticed.
Built-in financing gave clients an option without adding work for the team
CMIT Solutions Idaho helps clients procure and refresh technology, and that sometimes means larger purchases. The financing feature built into the Alternative Payments platform lets clients explore financing directly in the portal where they already pay their bills. Laurel doesn't need to collect additional information or promote it. It’s simply there, and the team gets notified as the process moves forward.
"When a new owner, a franchise owner, comes to me and asks me what we're using for payment processing, we point to Alternative Payments. The onboarding experience was incredibly easy. And they performed regular check-ins to make sure I was doing well. Taking this off the plate of a new franchise owner is amazing."
Results
A Clean Start, a Growing Client Base, and a Billing Process That Just Works
CMIT Solutions Idaho launched with Alternative Payments in place from day one and grew to 30+ clients without a single billing-related complaint. The platform gave the business predictable costs and fast reconciliation, gave clients an easy self-service experience, and gave the team confidence that the payment side of the operation was covered.
Key results:
- Grew from zero to 30+ clients since January 2025 with Alternative Payments supporting billing from the start
- Completed full onboarding and go-live in approximately one and a half hours
- Cut weekly reconciliation time from 3–4 hours to about one hour
- Zero client complaints about portal access, invoice visibility, or payment issues
"Where I used to spend maybe three or four hours and figure out what I was doing wrong, I'm down to about an hour a week on reconciling that."
