<h3><strong>Replace a Manual Payment Process                                                        </strong></h3>
<p>S1 Technology had a very time and labor-intensive process for receiving payments and updating their related systems, QuickBooks Desktop (QBD) and ConnectWise. Jeremy Roth, S1’s CEO, was performing all the tasks related to invoicing and the processing of payments, which took him away from other strategic business-related pursuits.</p>


<h3><strong>Time and Labor-Intensive Process</strong></h3>
<p>I handled all tasks related to customer payments. The process looked like this:</p>
<ul>
<li>Invoice customers through email.</li>
<li>Collect checks every day from the mailbox.</li>
<li>Photograph checks for immediate deposit into our checking account.</li>
<li>If a customer’s payment was incorrect, I had to go back and adjust the payments.</li>
<li>Manually enter payments into QBD, which I often forgot about.</li>
<li>Make bank deposits on the same day to ensure cash flow.</li>
<li>If I had to be out of the office, everything stopped and we weren&#8217;t able to get paid.</li>
</ul>


<h3><strong>Payment Receipts via Mail</strong></h3>
<p>It could literally take 10-12 days to get payments from Alaska and other areas, and customers were flagged for non-payment within 10 days of invoicing. All customers are billed at the end of the month in advance for services rendered the following month.</p>


<h2><strong>Solution</strong></h2>
<h3><strong>Automated Payments with Full Reconciliation to QBD and ConnectWise</strong></h3>
<p>I started to look for a new solution because of the sheer amount of time it took to enter payments, manage incorrect payments, issue credits and adjust payments. And then there was all the manual entering I had to do to reconcile the accounting system. I simply needed a way to manage all that automatically since I was the only one doing it.</p>


<h3><strong>The Perfect Setup for S1’s Systems</strong></h3>
<p>Alternative Payments was the only payments provider that integrated with both QBD and ConnectWise. Others integrated with QuickBooks Online, but I don’t like that product as much as the desktop version. Alternative Payments checked all the boxes, and customers seemed to agree that it was a smart choice. After only 3 months, 90% of S1’s clients began checking out through Alternative Payments.</p>


<h3><strong>Credit Card Payments are a Game-Changer</strong></h3>
<p>My customers love the fact that they can now pay using credit cards because many of them have rewards programs attached to their cards. They didn’t have this option before. And the real beauty here is that Alternative Payments collects the credit card service fees from the customer, so we don’t pay them.</p>

<p>We can specify time intervals for the sending of reminder emails if a customer hasn’t paid an invoice. This really helps us with collections, and we can send multiple reminders if the invoice remains unpaid.</p>

<li><strong>Automatic Updates</strong></li>
</ol>
<p>When we create and send an invoice, QBD automatically updates with no manual intervention. Invoices are paid into our bank account, and the information flows seamlessly from Alternative Payments into QBD, which then updates ConnectWise. Seamless and automatic. All the dashboards are updated in real time, which is amazing.</p>

<li><strong>Customer Communications </strong></li>
</ol>
<p>Prior to launch, Alternative Payments provided brochures for our customers that introduced the new system. Emails clearly laid out what they could expect and how the portal would function. These were scheduled for 60 and 30 days prior to our “go live” date, and they answered any questions our customers could potentially have. Our customers felt totally ready by the time we went live.</p>

<h3><strong>Looking to Streamline Invoice and Payment Processes                           </strong></h3>
<p>Before 2018, Valiant’s billing and payment process was a mixed bag. They had clients who sent checks, and others used credit cards or wired payments. Invoices were created in Valiant’s PSA, Autotask, and they would sync over to QuickBooks Desktop and then to the prior platform they were using.</p>
<p>A client would receive an automated email telling them their invoice was ready, and Valiant would send a full PDF copy of the invoice from QuickBooks as well.</p>


<h3><strong>Previous Customer Support Waned Over the Years</strong></h3>
<p>We were initially one of the first clients of our previous provider, and their customer support was very responsive. But as they grew the number of clients, their customer support deteriorated. For the last two years we were with them, we couldn’t get them on the phone. Issues we had were placed into a ticketing queue where they stalled for four or five days.</p>


<h3><strong>Wanted to Bypass Credit Card Processing Fees </strong></h3>
<p>At the start of the pandemic, we noticed that many businesses had either stopped accepting credit cards, or they were beginning to charge their customers 3- 4% for credit card fees.</p>

<h3><strong>Cost Savings and Efficiency</strong></h3>
<p>Just like so many other companies, Valiant Technology was looking to save on monthly credit card processing fees and automate invoicing and payments.</p>


<h3><strong>Cost Savings in Excess of $120K Year</strong></h3>
<p>We achieved cost savings in two ways:</p>
<ol>
<li>A flat fee pricing model that makes it easy to predict payments. This makes the most sense for us because it gives us room to grow. There also aren’t any processing or gateway fees like we had with our prior provider that fluctuated every month. We’re saving about 75-80% of our monthly processing fees with Alternative Payments.</li>
<li>Alternative Payments is collecting the credit card processing fees from our clients, saving us $10K a month or more.</li>
</ol>


<h3><strong>Quick Go Live and Onboarding Experience</strong></h3>
<p>Alternative Payments provided us with a team of people that we worked with throughout the implementation phase. We collaborated with the same small team whom we got to know really well, and they provided the necessary handholding that we required in the beginning. We primarily bill our clients on a monthly retainer basis and receive 80% of our ongoing revenue at the beginning of each month. We send these retainer clients their invoices 10 days before the first of the month and it all went well from the first month of going live.</p>


<h3><strong>Migration Was Smooth and Easy</strong></h3>
<p>I had a lot of fear about moving the client information over to Alternative Payments, thinking that we’d have to have 120-150 clients upload their information into the new system. Thankfully, Alternative Payments was able to migrate all our client data from our old system to their new one without skipping a beat. The fact that this process was seamless and easy helped us out quite a bit. Because I was needlessly worried about this, I held off launching the new system a month longer than I needed to.</p>
